Congratulations on being invited into the Showcase Victoria 2020 program! This section of the website is for program participants only and details everything you need to know about your Showcase Victoria adventure.
Please familiarise yourself with the information on these pages and check back regularly for updates and resources. We’ll email you important info and reminders, but in the meantime, if there’s anything you are unsure of, please get in touch.
The following outlines what you need to do next, and when (dates recapped below).
- Read through the following information and officially accept your place in the program by 5pm, Wednesday 26 February. If you have any questions or concerns about the format of your presentation or the time slot you have been allocated, please get in touch ASAP.
- We will be conducting a virtual Orientation Session at the Ulumbarra Theatre. This will give you an opportunity to view the space and meet crew members virtually. You can then ask questions and chat with the Technical Manager prior to submitting your technical requirements. We will go through some hints and tips about formatting your presentation. We will also be holding a webinar the following day on Wednesday 8 April at 4pm.
- Complete and submit the Technical Specifications Form for Program Participants by 5pm, Thursday 16 April. This includes the supply of all your digital materials (PowerPoint presentations, music files, stage plans, cue sheets etc). We require these a month out because this is how long it takes to collate and test everybody’s material.
- As program participants, we ask you to register to attend Showcase Victoria so that we can keep track of numbers and ensure we have enough catering! This includes registering for the Speed Dating session on 14 May which is filled on a first-come first-serve basis. Registrations will open on 30 March and we ask you to register by 16 April. Please note that ONE representative from each organisation participating in the program is entitled to COMPLEMENTARY registration for the whole day on which you are presenting your work! If you wish to bring additional representatives or attend on the other day you will need to pay to do so (at heavily reduced rates for non-funded and independent organisations and individuals). You do not have to pay for performers and/or creatives who are only attending to take part in your presentation.

The Showcase Victoria 2020 event program structure is as follows:
- Excerpts are 12 minute live performances designed to give attendees a taste of what they can expect from your show. They are followed by a 4-minute Q&A session which also allows for changeover to the next presentation. All Excerpts have a technical rehearsal.
- Pitches are 8 minute live presentations during which you can use digital materials such as PowerPoint and video to explain your work. Pitches are followed by a 4-minute Q&A session which also allows for changeover to the next presentation. Pitches do not contain any live performance element and there is no rehearsal but your digital materials will be pre-tested.
- Installations are examples of site-specific and experiential work that will be dotted around the venue for attendees to discover during the breaks.
- Speed Networking will take place over 1.5 hours on 14 May and will match artists/producers with venues/programmers for conservation and relationship-building.
- Expo – trade show style expo to be held during the networking event
This year we’re introducing a new streamed program format. This is designed to encourage a more diverse range of work that needn’t necessarily fit into the traditional main stage category and to allow venues and programmers more flexibility around which sessions they attend depending on their programming needs.
The new program streams are as follows –
- Main Stage – works of scale of all genres suitable for the main stages of performing arts centres
- Small Stage – one to three handers suitable for a variety of spaces including black boxes, halls, galleries, libraries and festivals
- Music Matters – original and/or contemporary music suitable for a range of spaces
- Expo – trade show style expo.
It’s important to note that the outcomes of Showcase Victoria are many and varied, and not always immediate. Aside from valuable relationship-building and professional development opportunities, outcomes may include state and/or national touring with tour coordinators such as Regional Arts Victoria, direct approaches from venues and programmers, one-off engagements, opportunities and ideas for future collaborations and independent tour-coordination.
Following the event itself, all attendees are surveyed with venues and programmers being asked to indicate interest in works they are considering for their programs and in which months and years. This interest is not a firm commitment but provides valuable information for producers and tour coordinators around the viability of touring the work. All program participants are supplied with the names and contact details of these interested venues and you are encouraged to make contact to further develop relationships no matter what the initial outcomes.
We will be running a post-Showcase Victoria Tour Planning Workshop to talk about the viability of touring your work and to introduce you to a variety of tour co-ordinators and help plan your next steps. This free event will take place on 11 June, 1pm – 4pm. More info about this will be sent to you over the coming months.
